Cupburger Privacy Policy


Who we are

Our website address is: http://www.cupburger.org.

We are a community of streamers, musicians, gamers, and friends who’ve come together to take care of each other. Some of us have more than we need. Some of us are navigating real hardship. The Cupburger Mutual Aid Fund exists to redistribute resources within our community, quickly, directly, and without strings, so the people we care about can get the support they deserve.

Grants, Donations and Payment Information

We do not collect any payment information directly through this website, as all financial transactions are handled externally through Open Collective.

We do, however, collect limited non-financial personal information from visitors who choose to contact us or apply for a Cupburger Project (for example, a name, email address, and details provided in the application form).

All donations and grant requests are handled through the Open Collective platform.

They maintain strong security practices to ensure that individual and collective information is protected. They do not store credit card details, so they cannot be lost if their systems are compromised. Any details you supply are secured by Stripe, a provider trusted by many leading companies worldwide.

While we do not expect a data breach, if any issues occur we will follow the advice of Open Collective, remain transparent and alert anyone who may be at risk.

Email

If you email us, Cupburger admins will have access to your email address and any information you choose to give us. We may need to share some of this information (e.g. your question) with relevant and trusted members of our team, but will endeavour to keep all personal information private, and only use it in our efforts to help. If you have previously emailed us and would like us to delete any previous conversation or data we hold, you can request to receive a copy of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. We will do our best to honour deletion requests promptly, unless we are legally required to retain certain information (e.g. to prevent fraud or resolve disputes). Our lawful basis for processing your data is your consent, or our legitimate interest in responding to your message and supporting our community.

For applications submitted through our Project form, the same principles apply: your message is shared only with the relevant Project admins and used solely to support your request.

Project Applications

If you apply to take part in a Cupburger Project through the form on our website, the information you submit will be sent by email to four designated Project admins after which it will be securely deleted. This information may include:

  • Your name or alias
  • Email address
  • Community history or background with Cupburger
  • Vouch or reference names (optional)
  • Fundraiser description and goal
  • Contact preferences (such as Discord handle, email or phone number)
  • Any additional details you choose to share

We use this information solely to review and respond to your application and to help you set up or promote your fundraising campaign.

Your form submission will be visible only to the four Project admins and will not be shared with anyone else without your consent. These admins have been reminded of their responsibility to keep your information confidential.

Because the form sends data via email, we take reasonable steps to protect these messages but cannot guarantee complete security during transmission.

We retain your application and any related correspondence only as long as necessary to process your request or manage an active project partnership, after which it will be securely deleted.

Our lawful basis for processing this information is your consent, which you provide when submitting the form.

Comments

We don’t have comments enabled on this website, so we are not collecting any data related to comments. If this changes at any point, we will update this policy.

Media

Only website admins, editors and contributors who are members of our community can upload images to the site.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Please note that visitors to the site could download and extract location data from images if it is included.

Cookies

Most visitors to our site will not receive any cookies beyond those set by their browser or any third-party services embedded on the site. Only website admins, editors and contributors who are members of our community can log in and publish content on our site.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Analytics

We do not use Google Analytics, Jetpack Stats, or any other analytics tools to track visitors to this website. If this ever changes, we will update this policy accordingly.

WordPress

This site runs on WordPress, which may set necessary technical cookies for logged-in users and editors. We do not use any WordPress features that collect data from public visitors (e.g. comments, forms, or site registrations).

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

We do not intend to share your data with anyone outside Cupburger. Only our designated admins (including Project admins) may access your information where necessary to review your application or respond to your enquiry. We will only use your data for its intended purpose and will not share it without your consent.

How long we retain your data

For users that register on our website (only website admins, editors and contributors who are members of our community), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Lawful basis for processing:
We process personal data on the basis of consent (for form submissions and project applications) and legitimate interests (for responding to general enquiries and maintaining our community operations).

What rights you have over your data

If you are a website admin, editor and contributor with an account on this site, or have sent us any information via email, you can request to receive a copy of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. We will do our best to honour deletion requests promptly, unless we are legally required to retain certain information (e.g. to prevent fraud or resolve disputes). 

Changes to this policy

We may occasionally update this policy to reflect changes in how we operate or to comply with legal requirements. When we do, we’ll update the date at the bottom of this page.
